Who we are

K S Software ("we", "us") is a registered sole proprietorship in Sri Lanka (registration number WP/COL/MH/2026/00280). We build and operate Qnow, an appointment booking and management service for businesses such as salons and clinics. This policy explains how we collect, use and protect personal information when you use Qnow, or when you book an appointment with a business that uses Qnow.

Two roles, one policy

For the business owners and staff who sign in to Qnow, we decide how their information is used. For a business's clients, the business decides why and how their information is collected, and we handle it on the business's behalf. If you booked an appointment and have a question about your information, you can contact the business or contact us.

Information we collect

Business owners and staff:

• Name, email address or phone number, and sign-in details managed by our authentication provider.
• Business details you enter, such as the business name, address, services, staff, working hours and logo.

Clients who book an appointment:

• Name, phone number and, if given, a WhatsApp number.
• The service, staff member, date and time of the appointment, its status, and any notes the business adds.
• Private confirm and cancel links that we create for each booking.
• A record of which reminders and notifications were scheduled and sent.

Technical information: basic logs such as IP address, browser type and request details, created automatically when you use our website or service, for security and troubleshooting.

How we use information

• To create, show and manage bookings.
• To send booking confirmations, reminders, cancellation, no-show and rescheduling messages by WhatsApp or SMS.
• To run, secure and improve Qnow, and to respond to support requests.
• To meet legal obligations.

We do not sell personal information, and we do not use clients' details for advertising.

Messages

The messages we send relate to a booking you made, such as a confirmation, a reminder, or a change to your appointment. WhatsApp messages are delivered through the WhatsApp Business Platform operated by Meta, which processes them under its own terms and privacy policy. If you do not want to receive messages, tell the business you booked with or contact us.

Who we share information with

• The business you booked with, which can see your booking details.
• Meta Platforms, for delivering WhatsApp messages.
• An SMS provider (Twilio), for delivering text messages where no WhatsApp number is given.
• Supabase, which hosts our database and sign-in service (our database is hosted in Singapore).
• Vercel, which hosts our website and application.
• Authorities, where the law requires it.

These providers handle information only to provide their services to us. Some of them process information in other countries, including Singapore and the United States.

How long we keep information

We keep information for as long as the business's account is active and as needed to run the service. When a business deletes a booking or client, or when we receive a verified deletion request, we delete or anonymise the information, except where we must keep it by law. Copies in backups are removed as those backups are replaced in the normal course.

Your choices and rights

You can ask us to give you a copy of your information, correct it, or delete it, and you can ask us to stop sending you messages. To delete your information, follow the steps on our data deletion page. For any other request, email admin@kssoftware.com.lk.

Security

Our website and application use HTTPS, and access to stored information is restricted to people and systems that need it. No online service can promise perfect security, so please contact us straight away if you think your information has been misused.

Children

Qnow is built for businesses and is not directed at children. We do not knowingly collect information from children for our own purposes.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
